A Guide to Streamlining Visitor Check-Ins

Summary

Visitor profiles are predefined cards entered into the platform to streamline visitor check-ins and enhance security. Visitors can enroll their faces manually, via auto-enrollment (not recommended due to inefficiency), or through web enrollment (available only for Alcatraz-hosted cloud systems). These profiles expire daily at midnight in the timezone of the Alcatraz Platform server, making the badges available for new visitors the next day. This system ensures efficient visitor processing and improved security.

Step 1: Setting Up Visitor Badges

  1. Log into the Platform: Access the platform where visitor profiles will be managed.
  2. Enter Visitor Badges:
    • Go to the Profiles tab, then select Visitors, and click on + Add
    • Specify a series of card numbers specifically assigned for visitor use. Begin by selecting the card format, followed by entering the facility code, and then inputting the card number range or individual card numbers intended for visitor identification.
  3. Save Changes: Ensure that all entered cards are saved correctly in the system.

Refresh the browser to view the cards in the system and take note of the expiration information provided for the visitor profiles.

Step 2: Visitor Enrollment

Enroll visitors using "Manual" or "Mobile Enrollment," as explained in our Enrollment Guide.

Auto Enrollment is discouraged due to the time delay between card swipes, which is not optimal for visitors. The time gap between card swipes is a security measure built into the system.

Step 3: Updating Profiles

  1. Add New Cards: Periodically review the range or list of visitor badges and add new cards as needed.
  2. Remove Unused Cards: Remove any cards from the system that are no longer in use to prevent potential security risks.
  3. Audit and Review: Regularly review audit logs to ensure compliance with visitor management protocols and identify any issues.
